Computers – Purchasing, Support and Temporary Loans

The University purchases contracted computers through Dell and Apple. The models listed below are our supportable models that we are authorized to repair, that we are familiar with and that have the features most needed at the University.

Computer repairs are done on computers under vendor warranty, which is typically 5 years for PC desktops, 4 years for PC laptops and 3 years for Apple computers. For Dell computers we perform most hardware replacements in-house with parts ordered with overnight replacement part delivery so hardware repairs often can be done within 2 days. Hardware service for Apple computers with AppleCare coverage is typically performed by the UConn Coop but we will diagnose the issue and work with them for you.

Typically Dell notebooks are purchased with “Complete Care” that provides warranty service for almost all types of accidental damage. This includes all types of incidental damage that include drops, spills, ripping off keys, cracking the case plastic, etc.

When Dell computers are ordered they typically ship from Dell in about a week and arrive in less than a week after shipping. In the cases of standard desktop and monitors models we often have them on hand.

Dell computers are identified by their Dell Service Tag. The Dell Service Tag is an alpha-numeric string that is usually found on the top or rear of the computer for desktops and on the bottom for laptops. Please note that your computer may have a UConn asset tag and this is not the same as the Dell Service Tag. Using the Dell Service Tag you can check the status of your warranty coverage at Dell’s Support Website.

Apple computers are identified by their serial number. The serial number for Apple computers can be found within the operating system, on the original product packaging, on the back of desktops and on the bottom of laptops, although there is some variance over product lines. Using the Apple serial number you can check the status of your computer using Apple’s warranty support coverage website.

Computer Purchases

New computers are bought under contract directly through Dell or through the UConn Coop for Apple. Below are the standard specifications that we suggest, which include our support. In most situations we suggest purchasing desktops since it will have a longer lifespan and higher performance, but if you require mobility then we suggest purchasing a notebook.

Please note that for notebooks there are various attributes that at our odds with each other and these include such things as performance, overall size / screen size, battery life, weight and price. In most situations as the size and weight of the laptop is reduced from the standard baseline the performance is also reduced and while the price increases. In contrast to this as the size of a notebook increases the price and weight typically increases due to a larger screen size and possibly also if the performance is higher. And in general we discourage purchasing notebooks that are designed for high performance because beyond being more expensive they tend to have a much higher failure rate.

When you order a PC computer we will install the baseline software load onto the computer, which includes Microsoft Windows 7 Enterprise 64-bit and programs such as Microsoft Office Professional Plus 2013 and Adobe Reader. In most situations you will have full administrator privileges to the computer you order so you can install any other software you wish once you receive it. The computer quotes linked in the PDFs can be used to order the computers through Kuali and we suggest handing off the appropriate PDF and KFS account number to the appropriate staff member in the CLAS Business Services Center so that they can order it for you.

Support Guidelines

Below are the guidelines for our basic support structure for standard computers. The computers are separated out by their models for Dell computers and model, generation and year for the Apple computers.

In most situations we fully support computers throughout their warranty period, which normally is 5 years for Dell desktop/minitower computers, 4 years for Dell laptops and 3-4 years for Apple computers. Computers that can support modern software, including our support tools, that are outside of the warranty period may be supported until they fail. If the computers are outside of that threshold then they our beyond our support abilities and should be replaced as soon as possible. The support guidelines are for standard operating systems, which is the latest supported version of Windows for the PCs, currently Windows 7 Enterprise 64-bit, and the latest supported version of OS X for Apple computers.

Dell computers are identified by their model name and model number, which for most of our desktops is OptiPlex and for notebooks is Latitude. The desktop computers write the model across the front of the computer, typically at the top but for older models it may be written around the power button, and for the notebooks it is written either on the bezel around the keyboard when opened and/or on the bottom. You can also locate the Dell Service Tag to look up the model on the Dell website as explained at the top of this page.

Apple computers are more difficult to identify because they often are not labeled with their model information. If you do not know the model then you can use the Apple serial number as described in the introduction of this page to look up the model information.

Computers that are decommissioned, typically when being replaced, will either have their drives wiped or destroyed, depending on the situation.
